Preparing Your Submission for Review

This page is designed to help those unfamiliar with EI navigate the submission process. Note that nearly all the information found here is also found on the For Authors/Submit tab on each individual conference's webpage.

Preparing a Successful Submission

There's no doubt, submitting to the EI Symposium requires a bit more thought than just clicking a button. That's because we offer different options to fit your needs: from open access journal papers to open access conference proceedings papers to presentation-only—within 18 conferences, to boot!

Here's a checklist to help you determine what's best for you and how to proceed.

CHECKLIST FOR A SUCCESSFUL SUBMISSION

  1. If you don't already know, determine to which of the EI Conferences you'll submit your work OR decide to let the EI leadership determine where your paper fits best (more on this below).
  2. Once you determine the conference, review the conference topics, special sessions, submission format, and other details listed in the For Authors tab of the conference webpage and follow the directions there for successful submission (or continue reading below).
  3. Decide if you want to submit via Journal-first, Proceedings Paper, or Presentation-only. Details on the advantages of each option are noted below.
  4. Review the deadlines for submissions.
  5. Review the Criteria for Acceptance.
  6. Familiarize yourself with the IS&T Publication Guidelines, IS&T Publication Policy, EI 2023 copyright forms, and relevant templates. Note that EI offers CC BY as well as other copyright agreements.
  7. Review the EI author obligations.
  8. Prepare your draft paper or abstract for review based on the length noted in the table below. If you want the committee to decide where your paper fits best, submit a 1000-word structured abstract (using the template, with optional figures). In the submission system, choose "Put my paper where it fits best" when asked to select the conference.
  9. Please note: IS&T strongly discourages the use of the Lena (Lenna) image in IS&T publications, conference presentations, and short courses. Authors/presenters/instructors should use other suitable images to illustrate and compare image processing algorithms. IS&T journals and conferences no longer review submissions containing the Lena image without convincing scientific justification for its use.
  10. For conference submissions (Proceedings Paper or Presentation-only), convert your draft paper or abstract file to PDF for submission. For Journal-first submissions, follow the directions provided.
  11. Submit using the appropriate link. For those wanting the committee to decide where your paper fits best, in the submission system, choose "Put my paper where it fits best" when asked to select the conference.
  12. Wait to hear if your paper is accepted; if it is, follow the directions provided. (In the meantime, you can preview of what you'll need to do to submit your final proceedings manuscript and prepare your talk for the conference.)

Three Submission Options to Fit Your Needs

If you want a Journal Citation

Select the Journal-first Option

Authors who wish to have their EI paper appear in and therefore be cited as a journal manuscript (vs. citation as a proceedings paper) may submit a complete, final manuscript-length paper (typically 8-12+ pages) of original work directly to the Journal of Imaging Science and Technology (JIST), or Journal of Perceptual Imaging (JPI) by the JIST-first and JPI-first Submission Deadline. Papers submitted using this option progress through the journal peer-review process, with the additional requirement that the initial manuscript submissions must be publication-ready, so as to meet the shortened submission-to-publication deadline. Papers should not require more than minor revisions. Papers accepted for JIST- or JPI-first are presented as oral papers at EI and are also published as reprints in the conference proceedings. If you want a Conference Paper Citation

Select the Proceedings Paper Option

Authors who wish to have their paper appear in the Conference Proceedings volume should select this option. Each EI conference has its own submission requirements, so please refer to the individual conference web pages or the table below. It is expected that authors will provide a signed IS&T standard copyright agreement with the final manuscript, which includes the possibility for a CC BY agreement.  SUBMIT NOW

Presentation-only Option

Presentation-only submissions are often by invitation or permission of the conference, but are also suitable especially for industry contributors restricted from submitting proceedings papers. (Note that the IQSP conference stipulates that presentation-only submissions are by invitation only.) This option allows you to present a talk at a conference, without having to submit a proceedings paper for publication.  SUBMIT NOW

Critical Submission Dates

JIST-first and JPI-first Submission Deadline: 1 July 2022

Priority Submission Deadline: 15 July 2022
We suggest that authors who fit any of the situations below submit by the Priority deadline:

  • Authors who require a VISA to enter the United States
  • Authors who plan to prepare their EI Conference Proceedings paper to be available early for FastTrack. Fast Track allows your paper to be posted in the Digital Library prior to the start of the Symposium.
  • Those who want to increase time for obtaining budget support from within your sponsoring organization.

Extended Submission Deadline: 19 September 2022
Authors who submit after the Priority Submission Deadline will be notified as conference programs are finalized in the late fall.

Templates, Copyright Agreements, and Journal-first details

Draft papers using the Word Template are requested for the initial submission review by the CVAA, HVEI, ISS, MOBMU, and VDA conferences.

Author Obligations

Authors submitting to EI agree to the following

  • Submission equals authorization for IS&T to circulate the submission to conference committee members (or journal reviewers) for peer-review and/or selection purposes.
  • If your work is accepted, you are obligated to register and present your work at EI as scheduled. Publication is conditional on your presentation. Register at the required registration rate by the early registration deadline. At least one full (non-student) registration is required with each accepted paper or presentation. Authors accepted under the Journal-first option must register for the conference AND pay the journal publication charges; reduced rates apply. See journal-first information for details.
  • Obtain funding for their registration fees, travel, and accommodations, independent of IS&T.
  • As applicable, secure a visa to travel to the US. Support letters are provided to accepted authors. We suggest that you choose the early decision submission option and complete the visa letter request form  as soon as you are notified of acceptance.
  • Ensure that all clearances (government and company) have been obtained to present and publish the work. If you are a DoD contractor in the USA, allow at least 60 days for clearance.
  • Sign and submit the IS&T Copyright Agreement. Please note that accommodations are made for authors who need to sign creative commons copyright forms such as CC BY and other options.
  • Submit a full-length manuscript (typically 4-6 pages) for publication in the IS&T Digital Library by the stated deadlines.
  • Attend EI and give a high-quality presentation as scheduled in the technical program. Prior to the conference, carefully construct and practice your presentation to faithfully represent your work to other attendees. Be prepared to answer questions. about the work.

Please note: Commercial papers, papers with no new research/ development content, and papers where supporting data or a technical description cannot be given for proprietary reasons will not be accepted for presentation.
