Information Collection

IS&T is the sole owner of the information collected to fulfill our business operations. This information may be collected via www.imaging.org, PDFs, or other means. IS&T collects information at several different points, including when someone registers for a conference, purchases a product, or becomes a member. This information is stored in the IS&T central database (iMIS). SSL encryption software is used on forms requesting financial information. Full credit card numbers are not stored in our database. Financial information provided via fax or other means is destroyed once the transaction has been fulfilled.

IS&T uses third-party vendors for its conference and journal review systems. Authors and speakers provide personal information in the process of submitting a manuscript for review. Distribution of personally identifiable information is consistent with the scholarly publishing peer-review process (e.g., for the purpose of introducing a submission to the editorial review board); it is not shared in any other way. Third-party vendors have access to personal information in the course of providing support to authors, reviewers, and others in the publishing chain. IS&T transfers user information from these third-party systems to IS&T’s central database. IS&T may also create user accounts or draft submissions on these systems for authors, speakers reviewers, and other end users as needed to complete the review process.

IS&T also uses third-party vendors to host the IS&T Digital Library. IS&T does not receive personally identifiable information about purchases made via the digital library.

To this end, user-identifiable data may be shared with vendors as needed to send postal mailings, fulfill any subscriptions, provide access to the IS&T digital library, and/or create accounts on third-party-hosted IS&T sites (including but not limited to workspace.imaging.org, jist.msubmit.com, jpi.msubmit.com, conference review sites, and manuscript submission sites.)

Cookies and Tracking

IS&T uses cookies to record session information such as items that visitors add to their shopping cart. Link tracking is used to monitor the effectiveness of IS&T marketing emails. Some of the collected information is tied to a user’s personally identifiable information to provide offers and improve the content for the user.

Database Confidentiality

IS&T does not sell any personal information through mailing lists or other means.

If IS&T cooperates with another Society on an event, email and/or other contact information may be shared, however whenever possible, IS&T protects this information by sending out information directly rather than giving it to another group.

IS&T no longer distributes participant emails or postal addresses to exhibitors. We may, however, send out an e-mail on their behalf if they are exhibiting at an IS&T conference.

IS&T contacts users about events for which they are registered and/or for related events, services, and products. Registrant information is used to generate participant lists distributed at meetings to other attendees. These lists include name, institutional affiliation, city, and state/country; no other personal information is provided.

Contact information for IS&T members is included in the directory of members—available only to other members—unless the IS&T member opts out.

Log Files

Website log files are used to store information such as: internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, platform type, date/time stamp, and number of clicks. This information is used to analyze trends, administer the site, track user’s movement within the site, and gather broad demographic information for aggregate use. IP addresses, etc. are not linked to personally identifiable information. Log files are used by utility tracking software to analyze user movement and to identify non-functioning links.

Database download logs track which articles have been downloaded by which IP (for institutional subscriptions) or individual (for individual subscriptions). If downloads exceed a standard level, the individual or institution may receive a warning and service may be disconnected. This action is taken to ensure that the systems remain available to all subscribers.

Legal Disclaimer

Though every effort is made to preserve user privacy, it may be necessary to disclose personal information when required by law, such as in compliance with a court order or other legal or governmental process.

Notifications

IS&T may use your information to provide you with information on new products, services, or upcoming events. Information from IS&T is increasingly provided via email. Should you wish to reduce the number of mailings you receive from IS&T, we suggest that you select specific categories within the unsubscribe options found at the bottom of bulk emails versus unsubscribing from everything. We’ve had situations where conference presenters have not received important information because they chose the global unsubscribe option. For more information, contact [email protected].

IS&T may also use contact information to reach you through phone, mail, or fax. Please contact [email protected] if you want to be removed completely from our contact list.

If you are an IS&T member, you may not opt out of IS&T business mailings such as for election and renewal notices.

www.imaging.org may contain links to non-IS&T web sites. IS&T is not responsible for the privacy practices of other sites. This privacy policy applies solely to information collected by IS&T-hosted and maintained Web sites. We encourage you to be aware of the privacy practices of any non-IS&T web site before disclosing any personally identifiable information on that site.

Security

The IS&T website takes every precaution to protect user information. When users submit sensitive information via www.imaging.org, their information is protected both online and offline.
SSL encryption software is used on forms requesting financial information. Full credit card numbers are not stored in our database for more than 30 days, and are encrypted during that time.

User information is restricted within the IS&T offices. Employees who need the information to perform a specific job are granted access to personally identifiable information. Servers that store personally identifiable information are in a locked facility.

Correcting/Updating/Deleting/Deactivating Personal Information

If your personal information changes or you no longer desire the services provided by IS&T contact [email protected].  

Modifications to the Policy

IS&T may modify, add, or remove portions of the Privacy Policy at any time. Customer information may be used for new or unanticipated uses not previously disclosed in the privacy notice. Information practice changes will be posted on this Web site.
